I. Organizer

The organizer of the Fryderyk Chopin Portrait Competition for young artists (hereinafter termed the ‘Competition’) is The Fryderyk Chopin Institute, headquartered in Warsaw at ul. Tamka 43, 00-355 Warszawa (hereinafter termed the ‘Organizer’).

II. Rules for Participation

  1. The competition is open to any citizen of the Republic of Poland who, on the date when the Competition is announced, has not yet reached the age of 36 years.

  2. In order to participate in the Competition, an applicant must submit an application, together with a file containing photographs of his/her works, to the following e-mail address: konkursportretchopina@nifc.pl, or personally hand-deliver documents to The Fryderyk Chopin Institute’s office at the address given in pt. 1, on or before 15 September 2015.

  3. The signed application should contain:
    • the participant’s first and last names,
    • his/her officially registered address,
    • contact data: telephone and e-mail,
    • a biographical note on the participant (year and place of birth, education – including, if applicable, the following obligatory information: year of degree receipt, major subject, diploma/thesis/dissertation advisor (academic title, first and last name), scholarships, most important awards, solo and group exhibitions, short characterization of work, quotes from reviews or other critical texts),
    • a list of works being submitted for exhibition: title, year, dimensions, technique, material, pricing information, indication of whether item is for sale,
    • declaration: ‘I consent to participate in the Fryderyk Chopin portrait competition for young artists and accept the Competition rules’,
    • two graphic files with photographs of each work (low- and high-resolution) should be attached to the signed application.

  4. Works may be submitted to the Competition which fulfill al. of the following criteria:
    • created in 2015,
    • executed using any painting or printmaking technique,
    • personally owned by their author,
    • have not previously won any awards,
    • original must exist only in one copy,
    • length or width does not exceed 2 meters.

  5. Each participant may submit a maximum of four works to the Competition.

  6. Any technique or convention for execution of the work is permitted, with the exception of installations.

  7. Files containing a photograph of a work should fulfill the following requirements: for low resolution: JPG file format, resolution 72–96 d.p.i., maximum image dimensions 1024 x 768 pixels; compression factor providing the highest possible quality; for high resolution: TIFF file format, minimum resolution 300 d.p.i., without compression; it is recommended to place the dimensions in the frame (in cm), along with the color template of your choice).

  8. In the case of a work whose true values, in the author’s opinion, cannot be conveyed in a photograph, the author may, at his/her own expense, provide the original of the work after agreeing upon a date of delivery with the Organizer – no later, however, than the deadline designated in pt. II.2 above.

  9. Works that cannot be exhibited for technical or organizational reasons may be excluded from the Competition.

  10. The Organizer warns that the making of an improper application may cause works to be excluded from the Competition.

  11. The making of an application means, in particular:
    • the expression of consent to processing of the applicant’s personal data, as well as those of his/her legal representative. Data shall be processed by the Organizer for purposes associated with conducting and documenting the Competition. The Organizer is also defined as the administrator of the data in the understanding of the law of 29 August 1997 on protection of personal data (i.e. Journal of Laws no. 101 from 2002, item 926 with amendments). The organizer undertakes to realize the rights of a given natural person, in accordance with the law on protection of personal data – in particular, the  right of access to the content of one’s data, as well as the right to correct them;
    • the free-of-charge transfer of ownership rights in the photographs of works submitted, as well as the expression of consent to grant the Organizer a non-exclusive license, free of charge and without territorial or temporal limitation, to utilize and dispose of the photographs of works submitted in al. fields of utilization – including, in particular, the making of copies via any technique and on any medium, storage, introduction into circulation, public performance, exhibition, projection and playback, as well as broadcasting and re-broadcasting, along with provision of public access to the work in such a way that anyone can access it at the time and place of his/her choice, and provision of access via computer network (including, in particular, the Internet). The Organizer shall obtain the aforementioned rights at the moment of receipt of the application and photographs. These rights may be utilized exclusively for documentary purposes, as well as for promotion and advertising of the Competition, and in information about the Competition and reporting concerning its progress.

  12. Application to participate in the Competition is voluntary and means full acceptance of the provisions of the present rules.

III. Jury

  1. The works shall be judged by a Jury comprised of artist union representatives, art historians and theorists, artists and representatives of the Organizer.

  2. Jury members shall be appointed and dismissed by  the director of The Fryderyk Chopin Institute.
  3. The Jury shall judge works during each round of the Competition (see Part IV of the Rules). The composition of the Jury may be different in each of the individual rounds.
  4. Jury decisions shall be made by simple majority vote, in the presence of a majority of the Jury members. The Jury’s decisions shall be final, without right of appeal.
  5. The Jury shall judge the works during at least two sessions.
  6. In matters not reserved to the Jury’s area of competency, decisions shall be made by the Organizer. These decisions shall be final, without right of appeal.
  7. The Jury has the right not to award particular prizes.
  8. Jury members (17 August 2015).

IV. Competition Rounds

1) First Round

  1. During the first round, the Competition Jury shall judge works on the basis of photographs sent in by Competition participants. No more than 25 works shall be admitted to the second round.

  2. The Jury’s decision to admit works to the second round of the competition shall be announced on The Fryderyk Chopin Institute’s web page, on or before 23 October 2015.

  3. If a given work has been admitted to the second round, its original must be delivered to the Organizer’s headquarters on or before 16 November 2015. Should a given work not be delivered within the deadline, it shall not be included in the second round of the Competition.

2) Second Round

  1. During the second round of the Competition, the Jury shall, based on the provided originals of the works, select works for the post-competition exhibition to take place at the Fryderyk Chopin Museum from March to June 2016, as well as indicate, from among the authors of said works, which ones have taken the first three places in the Competition.

  2. In the case of works comprised of several elements, the Competition Jury may select only one element for presentation at the post-competition exhibition, and decide to display photographic documentation of the remaining elements at the exhibition, in a  manner agreed upon with the author of the work.

  3. Competition results shall be announced on The Fryderyk Chopin Institute’s web page on 8 January 2016.

V. Prizes and Post-competition Exhibition.

  1. Prizes shall be awarded by the Organizer based on the Jury’s decision, after announcement of the results of the second round, on 1 March 2016 at the Organizer’s headquarters.

  2. The following prizes shall be awarded:
    • Grand Prix – PLN 10 000 for the Competition winner;
    • 2nd Prize – PLN 5 000 for the Competition participant who has taken second place;
    • 3rd Prize – PLN 3000 for the Competition participant who has taken third place.
  3. The Jury may propose a different division of the prizes than that described above in pt. 2; the prize pool cannot be expanded, and the amount of the prizes for individual places cannot be changed.
  4. The prizes awarded shall be paid out after income tax has been deducted in accordance with the applicable regulations.
  5. All Competition prizewinners prizes must collect their prizes by  26 June 2016. Failure to do so shall result in the given prizewinner’s loss of rights to the prize.
  6. The post-competition exhibition shall take place from 1 March to 26 June 2016.
  7. Each participant whose work has been included in the post-competition exhibition shall receive a copy of the catalogue of works admitted to the exhibition.
  8. At the moment when a given prize is collected by its winner, ownership rights in the winner’s work shall be transferred to the Organizer; the Organizer shall obtain, free of charge and without limitation as to time or place, the right to utilize and dispose of the work in al. fields of exploitation – including, in particular, the making of copies via any technique and on any medium, storage, introduction into circulation, public performance, exhibition, projection and playback, as well as broadcasting and re-broadcasting, along with provision of public access to the work in such a manner that anyone may have access to it at the time and in the place of his/her choice, and provision of access via computer network (including, in particular, the Internet). The Organizer shall also be entitled to grant licenses in the aforementioned scope. The work shall be added to the collection of the Fryderyk Chopin Museum; its place of exhibition shall be labeled with the first and last names of the author, the title, and the information that the work was submitted to the Competition.
  9. Other works besides those mentioned above in pt. 8, which were not accepted for the post-competition exhibition, should be collected within 60 days after announcement of Competition results; in the case of persons whose works were accepted for the post-competition exhibition, works should be collected within 60 days after the ending date of the exhibition. Works should be collected in person. At a Competition participant’s request and at his/her expense, the work may be sent to  the address given in his/her application.
  10. The Organizer may dispose of any works not collected within the deadline in the manner of its choosing, and the work’s owner shall have no claim to damages on this account.

VI. Concluding Provisions

  1. Costs of delivery and return of works, as well as any insurance of works during transportation, shall be borne by Competition participants. The Organizer shall not bear responsibility for damage incurred during transportation.
  2. In matters not reserved to the Competition Jury’s decision, decisions shall be made by the Organizer. The Organizer shall also settle any doubts concerning the interpretation of the present rules.
  3. The court of jurisdiction in case of any disagreement is the court of general jurisdiction proper to the Organizer’s headquarters.

EXPLANATION OF RULES

In connection with questions concerning the details of the formulation ‘any painting or printmaking technique’ (II, pt. 4b), the Competition Organizers shall accept computer graphics only in the form of a printout in one copy. For organizational reasons, there shall not be any possibility of presenting computer graphics on a monitor.
